Job Description
Purpose
To support efficient school operations by managing front office functions, communication, scheduling, records, and materials, while fostering a welcoming school environment and ensuring confidentiality and professionalism in all duties.
Roles and Responsibilities
1. Office & Administrative Support
Greet students, staff, parents, and visitors in a friendly and professional manner.
Answer multi-line phones, take messages, and route calls.
Schedule meetings and manage calendars for school staff and common spaces.
Draft, process, and send basic correspondence, including memos, emails, and staff reminders.
Process incoming and outgoing mail and deliveries.
Maintain office cleanliness; ensure staff room and front areas are stocked and presentable.
Assist with staff functions and logistics (e.g., school picture day, copier maintenance).
Ensure a safe, orderly, and welcoming school environment both outside and inside.
2. Communication & Community Engagement
Respond promptly and professionally to inquiries from families, vendors, and the public.
Help prepare and distribute school newsletters, flyers, and announcements.
Assist with communication efforts related to schoolwide events, celebrations, or community programs.
3. Clerical & Records Support
Maintain and organize non-student records (e.g., volunteer logs, compliance reports, meeting sign-ins).
File staff documentation, forms, and internal reports according to protocol.
Track office inventory, copier logs, supply requests, and printing needs.
4. Event & Program Coordination
Assist with logistics for schoolwide events such as family nights, field trips, staff gatherings, and guest speakers.
Prepare checklists, communicate with staff, and manage schedules or materials related to events.
5. Facility & Health Coordination
Submit and track facility and maintenance requests; follow up until resolved.
Conduct visual safety checks of indoor and outdoor school areas and report concerns.
Provide basic first aid to students and staff as needed; notify families of illness or injury.
Maintain basic health documentation and first aid supply inventory.
6. Executive Support
Support the Principal and Superintendent with internal scheduling, calendar coordination, and clerical assistance.
Assist with communications and document prep (excluding board packets or minutes).
7. Confidentiality
Maintain strict confidentiality of all student, family, and staff information in compliance with FERPA and school policy.
Ensure all sensitive documentation (paper and digital) is properly secured.
Refrain from sharing or discussing private information with unauthorized individuals.
Demonstrate professionalism and discretion in all interactions.
