Job Summary The Elite Job is seeking a dedicated and organized Part-Time German-Speaking Office Manager/Virtual Assistant to join our dynamic team. This role is perfect for a proactive individual who thrives in a fast-paced environment and can manage multiple tasks efficiently. You will play a crucial role in ensuring the smooth operation of our office while providing top-notch administrative support to our team and clients. Fluency in German is essential for effective communication with our German-speaking clientele. Key Responsibilities Manage daily administrative tasks, including scheduling appointments, managing emails, and organizing documents. Serve as the first point of contact for clients and partners, providing professional and friendly assistance in both German and English. Coordinate travel arrangements and prepare itineraries for team members. Maintain office supplies and inventory, ensuring all necessary resources are available. Support project management activities, including tracking deadlines and deliverables. Assist in the preparation of reports and presentations, ensuring accuracy and attention to detail. Collaborate with team members to enhance operational efficiency and improve processes. Handle confidential information with discretion and professionalism. Required Skills and Qualifications Proficiency in both German and English (written and spoken). Strong organizational skills with the ability to prioritize tasks effectively. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual collaboration tools (Zoom, Slack, etc.). Strong problem-solving abilities and a proactive approach to tasks. Experience Previous experience in an administrative or office management role is preferred. Experience in a virtual assistant capacity is a plus, especially within a multicultural environment. Familiarity with project management software is an advantage. Working Hours Part-time position, requiring approximately 20 hours per week. Flexible working hours to accommodate personal schedules, with a preference for availability during standard business hours (CET).
