The Orange Southwest School District is seeking a Special Education Administrative Assistant and Medicaid Clerk.
General Responsibilities:
? Performs a variety of basic and specialized clerical functions, and key administrative support functions for the Special Services office. Performs regular clerical duties for the department: answer phones, type correspondence, reports, manuals, and the like; order office supplies; photocopy; and other department clerical functions.
? Performs a variety of tasks related to the development and maintenance of computerized departmental records and
filing systems including initial database input, ongoing use of the system, involving regular data input and using
programs to generate a variety of regular and special reports.
? Attends and participates in various meetings and training sessions related to student services, Medicaid, and administrative support topics. Confers regularly with Director of Special Education to address ongoing projects, activities, and policies, exchange information, resolve problems, etc.
? Prepare and submit all necessary paperwork in regards to determining medicaid eligibility and medicaid billing,
Special Education Functions:
? Manages incoming records for newly registered students eligible for special education. Gathers records and
prepares mailings for students eligible for special education, transferring to other schools.
? Tracks, organizes and maintains special education and medicaid files (active and inactive).
? Performs and reports Child Count submissions for the District as required by the Agency of Education: Corresponds with appropriate staff to coordinate informational needs; requests and compiles information; processes data to ensure accuracy of Child Count; confers with the Director of Special Education to verify Child Count: submits Child Count according to deadlines; creates reports as requested by Director of Special Education.
? Performs and tracks other AOE reporting as required.
? Serves as the EdDoc Administrator; creates and manages EdDoc user accounts and caseload access;
responsible for the secure transfer of EdDoc student files between districts. Tracks caseloads and assists with annual caseload reconfiguration. Assists the Director with coordination and monitoring of regular special education procedural compliance checks.
Fiscal Responsibilities:
? Compiles data and assists with preparation and maintenance of budgets in collaboration with the Director of Special Education.
? Manages purchase requests for the department and tracks staff accounts to ensure adherence to budgeted amounts.
? Prepares and processes budget documents and purchase orders to pay bills out of the budgets (i.e. tuition,
transportation, contracted service providers), monitors and maintains account balances and monitors expenditures
for all related funds.
? Compiles and prepares revenue status reports for grants, service plans, child count, and the like.
? Tracks and reports State Placed students and Extraordinary Cost students to the state in collaboration with the
Business Office.
? Assists with the development and oversight of student services related grants (IDEA-B), and performs
bookkeeping functions related to the grants; tracks, records, and monitors
revenues and expenditures; pays related invoices; prepares reports, etc.
? Notifies Directors of Special Services when procedural or paperwork errors are discovered.
