Job Description: Event Coordinator

Impact Event Solutions is seeking a dedicated and organized Event Coordinator to manage all aspects of event planning and execution. This role requires a professional who can handle multiple tasks, from initial project planning to onsite event management, while ensuring a seamless experience for clients and attendees. The ideal candidate will be a proactive problem-solver with excellent organizational and communication skills, and be comfortable navigating the ambiguity of launching projects.

Responsibilities

• Event Management: Oversee the overall event management process, ensuring all components are executed successfully and on time.

• Project Management: Develop and oversee comprehensive project plans, including budget management and timelines for all event-related tasks. (Experience with EventsAir is a plus but not a requirement.)

• Event Website Development:

  • Coordinate the building of event sites, including websites, interactive registration sites, and attendee app platforms.

  • Manage and organize event content to ensure all information is accurate and accessible.

• External Communications and Relationship Management:

  • Secure and manage relationships with event sponsors and exhibitors.

  • Coordinate hotel arrangements for event attendees and staff.

  • Coordinate VIP logistics, travel, and communication.

  • Provide level-1 customer support and troubleshooting prior to events and on-site.

• Operational Oversight:

  • Manage all aspects of the event platform software (EventsAir).

  • Provide onsite support and management during events to ensure smooth operations.

• Client Interface: Serve as the primary point of contact for clients, managing their expectations and ensuring their needs are met throughout the event lifecycle.

Qualifications

• Proven experience in event coordination, project management, or a related field.

• Strong organizational and project management skills.

• Excellent communication and interpersonal skills.

• Ability to manage budgets and timelines effectively.

• Strong problem-solving abilities and a proactive attitude.

• Proficiency in event management software and platforms (preferred).

Location:

The position is virtual/remote and will require some travel to attend client events and company meetings.

Salary:

• Starting salary is $47,500 base
